WARNING - Data Backup is important!
The database used in this system (and some other key files) should be backed up periodically to insure against data loss in case of hardware failure or data file corruption. If the database is on a file server (a network drive), the backups will be as a part of normal IT department routine. If the database is on the PC's local drive (where the normal install puts it) it is the responsibility of the user to take regular backups.
For Windows 95/98 and NT systems, by default all files associated with DRS are held in:
c:\program files\drs\
A backup copy of this directory and all sub directories under it will ensure that the database (unless a different location has been selected) and all configuration files are backed up.
For Windows 2000 and XP the database and configuration file stored in a different location to the program files. This location is:
C:\Documents and Settings\All Users\Shared Documents\drs\

DRS includes a simple backup system that can be selected from the FILE menu. This option will copy a compressed version of the database onto a floppy disc, network disc or any other device that can be accessed via the standard Windows Explorer. If a floppy disc is used for the backup, all files on the floppy will be deleted before the backup is done. It is possible that a large database will be to big to fit on a floppy disc even when compressed. In this case a CD writer could be another option for the backup device.
Backup Database
Select "Backup Database" from the file menu. If the backup is to a floppy disc, just insert the floppy and click the "Backup to Floppy Disc" button. If backing up to another device, choose the destination for the backup file and then click the "Backup to ..." button.
Restore Database from Backup
The file menu also has an option that allows a backup file to be restored. WARNING - this option will overwrite any data in the current database and should be used with great care. When this option is selected, you must specify where the backup file to be restored is to be found.
Technical Note
The backup procedure is useful to allow the whole database to be emailed to another DRS user.
The backup file that is created is called: drsbackup.zip
It is possible to have a number of databases on the hard disc of a single PC and use the Configuration screen (supervisor menu) to switch between them. The database file itself is called drs.mdb.
