Entry of the hours for a "day with out of hours work" is on the assumption that there will be a series of work episodes in the duty period with spells of rest between. The details of the duty period and any work episodes are entered. If no work episodes are entered, it is assumed that work was continuous from the start to the end of the duty. If there are no work episodes to enter (e.g. for a full shift) it could be easier to use the spreadsheet style diary card entry that is invoked by the "Full Shift" toolbar button. The computer will examine the work episodes and calculate: -
The total rest for the duty
The out of hour rest (rest in the period 5:00pm to 9:00am)
The longest continuous rest in the period 10:00pm to 8:00am
The total work in the period 7:00pm to 7:00am
Work Intensity
This only appears if "hybrid" was chosen as the work pattern type. The intensity level of the work on the day being recorded must be selected as on call, partial shift, 24 hour partial shift or full shift. This day can then be analysed against the appropriate New Deal targets.
Start of Duty
The time the duty period started. NB 24 hour clock is used.
End of Duty
The time the duty period ended. NB 24 hour clock is used. A maximum of 24 hours may be entered by specifying the start and end times the same. If the duty period is over 24 hours (eg 9:00 through till 10:00 on the next day), specify a 24 hours duty period for the on call day (9:00 to 9:00) and a short duty on the next day (9:00 to 10:00).
Natural Breaks Satisfactory
During the "normal day" portion of the on call period, periods of rest will not always be possible, but time for natural breaks should be available. The analysis will check that at least 75% of duties have satisfactory natural breaks.
Enter Work Episodes
Once details of the period of continuous work have been entered, click on work episodes grid or tab to it. Data entry on the grid is spreadsheet style. Movement is achieved using mouse, cursor keys, and the Enter key to end entry of a time and move on to the next one. Entry of 4 digits followed by the Enter key will place the time in the current cell and move on to the next cell automatically. The computer will update the calculated total rest, etc. as work episodes are entered.
The start and end times are checked to ensure that they do not overlap other work episodes. You will not be allowed to exit from this screen until valid start and end times are specified.
To remove a work episode, click on the work episodes table then single click on the far-left column of the table (the record selector column). This should highlight the whole unwanted row in the table. Press the Delete key to remove the highlighted row.
Activity Analysis
If input of activity analysis data has been selected for this group (see Diary Cards - "Day With Out of Hours Work" Entry), the work episodes grid will have extra columns depending on the activity categories defined for the study.
Each extra column will be a pull down list of the items defined for the activity category. Entry is possible using the mouse to pull down the list and select the required item, but using the keyboard can be quicker.
Each item in the list is identified by a letter (A to Z). The letters appear on the pre-printed diary card blanks that can be produced by DRS. Type the letter to select the item, then use the TAB key or Enter key to move to the next column.
With the standard size for the diary card entry screen, there is not enough room to see much of the activity columns. More will be seen if the windows is maximized or stretched widthwise.
