Setting up Access to the Web Database

A login name and password must be obtained from DRS support. The computer running DRS must have an Internet connection available – preferably a broadband style connection that is reliable and reasonably fast. The system will work over dial up for occasional use, but it is not recommended for intensive use.

To set up access, use the "Supervisor" menu, option "Configure Link to Web Database".

Enter the server name, user ID and password supplied.

Click the "Check Link" button. If a link to the database is successful, this will be reported.  Click the "Save" button to store the settings.

If the database could not be reached, the type of error will be reported. If it concerns user ID or password, check the typing and try again. If the error is "Could not contact web database", it could be that the server name is wrong or that access to the web is via a proxy server. Proxy servers are used in office environments to control users access to the web. You can instruct DRS to use a proxy server by checking the "Use a proxy server for web access" box. Settings will be taken from those in Internet Explorer. Try the "Check Link" button again. If this is not successful, it may be necessary to enter the details of the proxy server to be used. Consult the local IT support for this.

It is possible that a user at SHA level will want to view the web database whenever DRS is started (by default DRS will always start by displaying groups on the local database). Check the "Display groups from web database when DRS starts" to achieve this.

 

Changes to DRS when Web Database Access is Available

Extra menu options will be visible depending on the type of permission the user has.

 

Trust User

The trust user will be able to send work group information to the web database, request re-banding approval and produce status reports. The extra menu options  available are:

·      "Prints" menu – "Print Re-banding details"

·      "Prints" menu – "Print analysis with Re-banding confirmation"

·      "Remote" menu – "Current group - Web database send/update"

·      "Remote" menu  - "Get approval status from web"

·      "Remote" menu  - "Bulk synchronise with web database"

·      "Supervisor" menu – "Change the DRS code for a group"

·      Right Click menu – "Web database send/update"

 

SHA User

The SHA user will be able to view and analyse the data placed on the web database by Trust users (but not change it),  grant approval for the re-banding stages and produce status reports. The extra menu options available are:

·      "Edit" menu – "Change Approval Status" (when Web Database view selected)

·      "View" menu – "Web Database"

·      "Prints" menu – "Print Re-banding details"

·      "Prints" menu – "Print analysis with Re-banding confirmation"

·      Right Click menu – "Change Approval Status" (when Web Database view selected)
