This screen allows input of information that defines the group and who is currently in it. The following data items can be input or changed on this screen.
· Trust. Type the name or select from the pull down list. Up to 15 characters will be stored. This can be left blank.
· Site. Type a name or select from the pull down list. Up to 30 characters will be stored. This can be left blank.
· Speciality. Select from the pull down list. Typing letters will incrementally position the list. Cannot be left blank.
· Group Name. Create a name that will identify the group or select from the pull down list. Up to 30 characters will be stored. Cannot be left blank.
· Grade. Select from the pull down list. Typing letters will incrementally position the list. Cannot be left blank..
· Taken together, the above 5 items identify the group. You will not be allowed to create a group with a set of names identical to one already on file.
· Resident? Check this box if the doctors in the group are resident. Used in banding calculations.
· Include in Return Print? This box should be checked if the group is to be included in the report used for the production of returns.
· This is a 1 in ---- rota Only used in banding calculations for on call rotas. If set to 6, the doctors in the group will be deemed to a 1 in 6 for pay banding purposes. If set to zero, DRS will calculate this figure based on the frequency of weekday on call days compared to the total number of weekdays.
· Group/Pattern Status This can be set to "Live" for current active groups, "Dead" for groups that become inactive or "Test" for all other cases.
· Group Comments Text that will explain the role and history of the group.
If the work intensity of the group is to be monitored using diary cards, information on the individual doctors currently in the group and the timing of the diary card study must be provided.
· Diary card study start date Type in the date or use the pull down calendar and click on the required date. To blank out the date, press the Escape or F2 key while on the entry box.
· Weeks The length of the study in weeks.
· Input activity analysis data? If checked, the diary card input screens will have extra fields for the input of activity types associated with work episodes.
· Activity Categories File If activity analysis is being performed, a default set of categories and activities is always available, but a specific set may be required for a speciality or a special study. These file of activity categories are created and edited via the "Supervisor" menu, option "Change activity analysis categories". The pull down list will show all the category files available.
Doctors in the work group
The doctors will be identified with the diary card study start date. If the study start date is changed, a different set (or blank set) of doctors will appear. The following information should be provided:
· Surname The surname of the doctor. Up to 30 characters will be stored. Cannot be left blank.
· Initials The initials (or first name) of the doctor. Up to 6 characters will be stored. May be left blank
· Grade Only needs to be entered if the grade is different to the grade specified for the group. Type the grade code or select from the pull down list.
· Pattern Week This identifies the week in the standard work pattern that the doctor is working at the start of the diary card study. It is not essential that this is entered, put it can be useful to allow the computer to fill gaps in the diary cards submission with information on the hours that should have been worked on the missing days. DRS will not calculate average hours of duty and work from a diary card study unless it has information for every day for ever doctor in the study.
New doctors can be added by typing in the empty row at the bottom (marked with an *). Doctors can be removed as follows
1. Click on the body of the doctors grid
2. Click on the grey leftmost column of the grid (the record selector column) for the doctor to be deleted. The whole row should be highlighted.
3. Press the keyboard delete key.
Multiple Monitoring Exercises
It is possible to hold a number of different monitoring exercises for the group. When the first exercise is complete and another exercise is to be performed, click one of the "New Exercise" buttons. This will clear the input fields ready for the new study to be defined. Two buttons are provided so that the doctors list can be either left in place or cleared.
When there is more than on study on file, the "Existing exercises Start Dates" pull down list will come into play. This shows the start dates of all the studies held for the group.
To view or re-analyses an old study, select the start date of the study and click the "Make this the current exercise" button. The details of the study should appear in the "Current monitoring exercise" frame. Click "Save and Exit" Now the diary card input screen, analysis, charts etc. will all reference the select study details.
To remove an old study, select the start date of the study and click the "Delete the exercise" button. As long as the study is not the current one, it will be deleted along with all the diary cards identified with it.
